Front Desk Dispatcher

Job Description
The Front Desk Dispatcher is key to the success of the day-to-day operation at FLYT Aviation. Students, instructors, pilots and other FLYT employees reach out to the front desk to schedule aircraft, report concerns, fuel and oil needs, sales inquiries, or any other questions regarding the operation of FLYT Aviation. The Front Desk Dispatcher must be outgoing and as helpful as possible to ensure a consistent high level of customer satisfaction and maintain a department image appropriate to FLYT Aviation as a leader of aircraft rental and flight training.

 

Responsibilities
•    Greet customers, students and employees in a friendly professional manner.
•    Provide information to pilots, customers, students and employees, including making reservations as required.
•    Answer phone calls and emails as necessary, and communicate with other departments within the organization as needed. 
•    Proactive preparation for aircraft reservations and notifying pilots and instructors of changes or potential conflicts.
•    Provides timely feedback to the company regarding service failures or customer concerns.
•    Coordinate maintenance status of aircraft in the fleet and report issues timely. 
•    Flight following of FLYT Aviation aircraft to ensure all aircraft can be accounted for at any given time.
•    Provide accurate data for aircraft and instructor billing, and complete associated payment transactions.
•    Support the sales department with answering customer and prospective student questions related to pricing, program rates, and other information.
•    Maintain a neat and clean work area at all times to include front desk, lobby and break area.
•    Control and coordinate logistics for any problems encountered by aircraft away from home base operations.
•    Other duties as assigned.

Skills and Qualifications
•    Customer focus and naturally outgoing/extroverted. Experience in the service industry or retail is preferred.
•    Communicate with customer and employees in person, on the phone, and through radio communication.
•    Strong computer skills including Microsoft Office products and point of sale programs.
•    High School Diploma or equivalent
•    Ability to work evenings, weekends and holidays.
•    Flight operations and/or pilot experience preferred.

Job Description

The Front Desk Supervisor manages the Front Desk Dispatchers and coordinates activities between shifts, handles issues escalated from the Front Desk Staff, and focuses on maintaining the positive image of customer excellence at FLYT Aviation. The Front Desk Supervisor is in a key support role to the sales organization within FLYT Aviation, meeting with prospective students, upsells to existing customers, and resolving billing issues. The Front Desk Supervisor may also be tasked with special administrative projects.

 

Responsibilities
•    Greet customers, students and employees in a friendly professional manner.
•    Support the Front Desk department as necessary to assist with phone calls, answering emails, communicating with other departments and coordinating

      the day-to-day operation as necessary.
•    Review the flight schedule for the next 1 to 2 days for fleet utilization, potential schedule conflicts, or other issues and address as necessary.
•    Reach out to customers and students for feedback on the customer service and experience at FLYT Aviation.
•    Follow-up on maintenance discrepancies and ensure timely reporting, adjusting the flight schedule as necessary.
•    Review billing and receivable reports and resolve any discrepancies.
•    Support the sales department with answering customer and prospective student questions related to pricing, program rates, and other information.

Aircraft Mechanic

Job Description

Our fleet of aircraft must be properly maintained and ready to fly our busy flight schedule, and that takes a team of qualified aircraft mechanics to perform preventive maintenance inspections, repairs, and other routine maintenance.  

 

Responsibilities

•    Assist the Director of Maintenance with routine maintenance, A.D. compliance, oil changes, and 100-hour inspections. 
•    Follow established and normal aviation safety procedures and processes.
•    Maintain complete and accurate maintenance records.
•    Conducts scheduled inspections and completed follow-up as required. 
•    Complete repairs as reported by pilots, instructors and students, and return aircraft to service. 
•    Ensures all aircraft maintenance documentation is executed in compliance with applicable Federal Aviation Regulations, company policies and procedures, and applicable maintenance manuals to include specific chapters.
•    Maintain work area in a clean and professional manner.
•    Other duties as assigned.

 

Skills and Qualifications

•    Airframe and Powerplant Mechanic Certificate is preferred. If no A&P, must possess at least a Private Pilot Certificate.
•    Excellent communication skills.
•    Experience performing routine maintenance.
•    Experience with basic hand-tools and demonstrate knowledge of mechanical skills.

 

 

Work Environment

Hangar available for major repairs, most repairs and work will take place at the aircraft parking area outdoors. Exposure to varying weather conditions as necessary during repairs. Office work environment for maintaining records and completing applicable paperwork. Varied working hours based on demand and flight schedule.

Sales Manager

Job Description

The Sales Manager is the lead for successful promotion of flight training programs and aircraft rental to prospective students and clients in the Greater Atlanta area for FLYT Aviation. To this end, contributes to the development and execution of strategic sales and marketing objectives and coordinates closely with the General Manager and marketing team to ensure maximum effectiveness in sales campaigns and increasing revenue generation. Compensation may include a commission basis for meeting quota/KPI targets for sales, and has the potential for advancement within the company. 

Responsibilities

•    Administer the generation of proposals, presentations and promotional material to affect direct customer sales.
•    Effectively provide information and answer prospective student or client questions regarding flight training, aircraft rentals, programs, and pilot career path, with the ultimate goal of the student or client flying with FLYT Aviation.
•    Quotes pricing and payment plans for flight training programs and block hour rates for aircraft rental.
•    Participates in community outreach activities which may be beneficial to increasing the customer base or promoting the company to the local area. 
•    Meet weekly and monthly sales targets and goals as defined by the General Manager, and support the continuous growth of the company through new business generation.
•    Mentor and coach the Front Desk organization to actively participate in achieving the sales goals of the company, following up on potential leads, and reaching out to customers.
•    Coordinate new client checkout flights and initial student lessons with an appropriate flight instructor as required.
•    Upsell customers as necessary to meet company or customer needs.
•    Maintain CRM database of sales leads, current status of prospective clients, and sales plan to provide weekly update reports to the General Manager and finance department.
•    Coordination with the Flight Operations department to ensure customer satisfaction, and resolve any concerns or discrepancies.
•    Participate in advertising program development, interact with customers and assist in coordinating marketing plan, sales literature, advertising, and sales strategies.
•    Follow-up with customers to generate feedback on customer service and services provided, and communicate feedback to other departments as necessary to improve service or operations.

Chief Financial Officer

Job Description

The CFO oversees all company financial activities to ensure the company stays in strong financial standing. Their main duties include building revenue reports, distributing calculated funds to various departments and implementing company financial policies.

 

Responsibilities

•    Establish financial practices and controls for the organization to protect cash flow and follow all GAAP and legal requirements.
•    Weekly reporting of all revenue and expenses to ensure profitability goals and targets are maintained.
•    Accounts receivable are maintained with a zero DSO, and payment collection is coordinated with sales and the front desk.
•    Accounts payable are maintained within agreed payment terms and supports the cash flow of the company. 
•    Cash flow is monitored on a daily basis with a weekly report on status, along with weekly and monthly forecasts against goal.
•    Weekly and monthly analysis of expenses, to include a weekly P&L report.
•    General bookkeeping and general ledger reconciliation.
•    Process payroll on a bi-weekly basis.

•    Knowledgeable with tax processes and oversee a tax professional to ensure compliance.

•    Other duties as assigned.

Skills and Qualifications

•    Degree in accounting, business finance or related field.
•    Several years of experience in finance, P&L analysis preferred.
•    Proficient in Microsoft Office, especially Excel.
•    Excellent attention to detail and effective analytical skills.
